Job Description
The European Molecular Biology Laboratory (EMBL) is one of the highest ranked scientific research organisations in the world. The Headquarters Laboratory is located in Heidelberg (Germany), with additional sites in Grenoble (France), Hamburg (Germany), Hinxton (UK) and Monterotondo (Italy).

The Administrator of the Cell Biology and Biophysics Unit works closely with the Head of Unit and provides administrative support for all Group Leaders and Research Groups of the Unit. This includes making travel arrangements for scientists of the Unit, organise meetings, courses and seminars, handling express shipments of reagents, order office supplies, and organising the registration, logistics and schedules of visitors, speakers and newcomers. He/she interacts with the other administrative branches of the Laboratory, on behalf of the Unit, especially with Human Resources to support recruitment of predocs, postdocs and staff, with the Finance Department to handle payments, Unit credit card accounting and travel reimbursements. He/she supports the Head of Unit as a personal assistant, e.g. by managing his/her diary and travel and preparing briefing documents, agendas and minutes of committee and board meetings attended/chaired by the HoU, as well as being responsible for correspondence and reports. The CBB Unit Administrator also organizes the EMBL-wide Distinguished (Green) seminar series, the monthly Head of Unit lunches and the monthly Unit Administrator meeting.

Qualifications and Experience
The post requires excellent secretarial, administrative and organisational skills, discretion and respect of confidentiality, willingness to pay attention to detail while being able to complete multiple parallel tasks efficiently often within tight deadlines. A natural ability to interact with staff of different nationalities in a friendly and supportive manner and fluency in written and spoken English and a good working knowledge of German are essential. French would be an asset.

The ideal candidate will have relevant education, training and work experience, preferably in an international and scientific environment. Strong skills in commonly used office software are required, e.g. Microsoft Word, Excel, PowerPoint, Internet browsers, E-mail. Knowledge in preparing presentations and graphics programs such as Adobe Illustrator are an advantage. Excellent interpersonal skills are essential, with a demonstrated track record of working well in a team environment, with a proactive, independent and motivated attitude.
